An Expense Administrator can import or export users as follows:
Log into Access Expense
Click Settings
Click Users
Click Import/export
You have two options available depending on whether you currently have users in your system or not.
Download Template β this gives you a blank excel template with column headers, which you can complete and import to add users to Expense. This should only be used if you are adding users into the system for the first time.
Export β this gives you a full export of all of your users and their current settings in excel. You can make changes to settings, and add new users to this form, which you can then re-import into expense.
Once you have completed your template or amended your export, to check your form for errors before importing it into the system, click Validate Only. This will check all of the users you are importing for any errors. Errors need to be corrected before you import your users. Errors are displayed beneath the progress bar and will give you detailed information about the row/column of the cell in question and what the error may be.
Work through these errors and correct them on the import file. Some things to look out for are:
Check the field names are an exact match to what you have set up in expense.
Check fields that are binary options are set to 1 and 0 and not Yes or No.
For new users check all required fields are completed.
Make sure there are no additional fields.
Save your amended import file and repeat from step 6 above to check for any further errors.
